Job Description
Administrative Director & Controller
Job Duties:
Financial Management
  • Oversee all financial operations, including budgeting, forecasting, reporting, and cash flow management
  • Develop, implement, and continuously improve financial and operational systems to ensure accuracy, efficiency, and scalability
  • Manage financial transactions including invoicing, accounts payable and receivable, bank reconciliations, payroll, and sales/use tax
  • Develop and oversee job costing systems to accurately track project expenses, labor, overhead recovery, and profitability
  • Collaborate with leadership to ensure target profitability levels are achieved
  • Establish and maintain financial policies and procedures
  • Monitor cash flow and manage banking relationships
  • Coordinate with external accountants, auditors, and legal counsel as needed
Human Resources
  • Lead all HR functions including recruitment, onboarding, performance management, and policy development
  • Oversee HR systems and ensure compliance with employment laws and regulations
  • Manage employee relations and support a positive workplace culture
  • Administer employee benefits programs and ensure regulatory compliance
Administrative Leadership
  • Develop and implement efficient internal systems and workflows
  • Oversee daily administrative operations to maintain a well-organized office environment
  • Support executive leadership with strategic planning and operational improvements
  • Participate in leadership meetings, including agenda preparation and meeting documentation
  • Serve as backup support for office operations when needed
  • Create, document, and maintain company policies and procedural manuals
  • Manage the company CRM and coordinate other IT-related administrative needs
Qualifications
  • 5+ years of experience in financial management, human resources, and/or office administration
  • Strong understanding of accounting principles and financial management best practices
  • Demonstrated ability to build, improve, and document systems and processes
  • Hands-on experience with HR operations, including recruitment, onboarding, and performance management
  • Self-motivated with the ability to thrive in a fast-paced, growth-oriented environment
  • Exceptional attention to detail and accuracy
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office and accounting software required; experience with project management, collaboration, and document management platforms preferred
Additional Information:
  • Hours: 8:00am - 5:00pm, Mon - Fri
  • Location: 100% onsite
  • Pay: $80,000 - $110,000
  • Type: Direct Hire
